Voiding an Issued Credential

In credential management, accuracy and credibility are everything. There may be times when a credential has been issued with incorrect information, granted to the wrong recipient, issued a duplicate credential or is no longer valid due to disciplinary, academic, or administrative reasons. In these cases, Voiding a Credential is the right step to maintain trust, accuracy, and control in your issuance process.

Wauld gives admins a secure and traceable way to permanently invalidate a credential, ensuring that recipients and third parties can no longer access, use, or verify it.

Unlike editing or resending, voiding is a final action; it removes the credential from all valid systems and clearly flags it as voided across all views, making sure it cannot be used as valid proof of achievement.

What Does Voiding a Credential Mean?

Voiding a credential is a non-reversible process that permanently disables the credential from being used in any form. Once voided:

  • The recipient can still access the credential, but it will display a Voided banner clearly indicating its invalid status.

  • The credential is marked as "Voided" in the system and on all previews.

  • It cannot be verified by third parties.

  • The recipient is notified via email that their credential has been voided.

  • Change requests raised against the credential are automatically canceled.

How to Void a Credential

To void a credential from the Admin Portal:

  1. Go to the "Recipients" section from the left-hand navigation bar.

  2. In the Recipient List View, click on the recipient whose credentials you want to review.

  3. This opens the Recipient Details View, where you'll see a list of all credentials issued to that recipient within the current workspace.

  4. Click on the credential you want to explore.

  5. This opens the Credential Details Modal, displaying complete information and available actions.

  6. In the modal, locate and click the "Void Credential" button.

The Void Confirmation Modal

Clicking "Void Credential" opens a confirmation modal that outlines the consequences of voiding the credential. You’ll see a message similar to:

  • Voiding this credential will:

    • Revoke the recipient's access to the credential and anywhere it has been added.

    • Notify recipients about the voiding through email.

    • Render the credential invalid for future verification or use.

  • To proceed with voiding, please type void in the field below.

To confirm, you must:

  • Type the word “void” in the confirmation field (case-insensitive)

  • Click the Void button

If you change your mind, click Cancel to exit the process without taking any action.

This action is permanent. Once voided, the credential cannot be restored.

What Happens After a Credential is Voided?

Once the credential is voided:

  • The Resend option is disabled

  • The Edit Credential option is disabled

  • The Download button is hidden

  • The Preview view of the credential displays a "Voided" banner across it

  • Any pending change request is automatically canceled

  • The credential appears in recipient dashboard with void tag

This ensures that no further actions can be taken on a voided credential, and its invalidity is clear across all interfaces; both admin and recipient.
