Approving a Change Request

Change is inevitable; and Wauld helps you handle it gracefully.

When a recipient submits a request to correct or update a credential, Wauld’s Change Request Flow enables you to quickly review, modify, and reissue the updated credential; all within a few clicks.

Before you begin:
Make sure you’ve read Introduction to Change Requests to understand how to navigate to the Change Request list and open the Credential Details Modal.

Reviewing the Change Request

Once you're in the Credential Details Modal for a recipient’s credential, you’ll see the change request (if raised) displayed clearly.

In this modal, you can:

  • Read the Subject and Description of the request.

  • View any supporting documents uploaded by the recipient (such as IDs, certificates, or other evidence).

  • Decide whether to Approve or Reject the request.

To begin approving, click on the “Process Change Request” button.

Making the Requested Updates

Clicking “Process Change Request” opens the Change Request Processing Screen, where you can:

  • Modify the attributes as requested by the recipient (e.g., name, date, title).

  • Edit any other credential attributes used during issuance (except recipient email).

  • Change the credential expiry settings:

    • Never Expires

    • Expires After a Set Duration

    • Expires On a Specific Date

On the right side, you’ll see a Live Credential Preview that updates in real-time as you make edits; giving you full confidence in what’s being reissued.

Approving the Request

Once you're satisfied with the changes:

  1. Click the “Process Change Request” button.

  2. A confirmation modal will appear outlining the impact of this action.

  3. Click “Yes, Process Change Request” to approve and reissue the updated credential.

  4. Or, if you wish to cancel the process, click “Cancel”.

What Happens After Processing Change Request?

For Admins:

  • The old credential is automatically voided, and marked as such in the system.

  • The credential audit log of the old credential records the reissue and links to the new credential.

  • You can always trace which credential superseded the voided one from the credential audit log.

For Recipients and Third Parties:

  • Once a change request is approved, the recipient will receive an email with a link to the reissued credential.

  • If a recipient or third party opens the link to the old (voided) credential:

    • They'll see a “Voided” banner.

    • A message will state: “This credential has been voided. The updated version of this credential can be accessed here”

    • A link to the new credential is embedded in the word “here” within the banner, allowing seamless redirection.

This ensures continued trust and clarity for all parties involved; from recipients to employers and verifiers

Limitations After Approving

Once a change request is processed and a credential is reissued:

  • The old credential becomes inaccessible and cannot be used or verified.

  • Admins can no longer edit or resend the old version.

  • Recipients cannot raise change requests on a voided version.

  • Download action is disabled for the voided version.
